Student Travel and Hotel

Students who register for the Summit must be recommended or invited by faculty or team leader affiliated with InnovATEBIO. Student attendees must present an approved poster during the poster sessions at the National Academy of Sciences on June 26. InnovATE BIO will cover all major costs, including flight, hotel, and meals for student attendees.

CORD will contact students to make flight arrangements and hotel accommodations after the poster committee approves their poster abstract.

Student attendees should plan to arrive on Sunday, June 25, in time for a reception at 5:30 pm at the St. Gregory Hotel (across from the Hyatt Place, the designated student hotel).

On Monday, June 26, at the conclusion of the Summit and poster session, students will be expected to attend an evening networking reception at the National Academy of Sciences.

Students should plan to depart on the morning of Tuesday, June 27.

Flights

  • CORD will make flight arrangements based upon the information submitted on the registration form.
  • Flights will not be booked until after the poster abstract has been approved.
  • Flight arrangements or changes made without CORD will not be reimbursed.

Hotel

  • All students will stay at the Hyatt Place Washington DC/Georgetown/West End, 2121 M St NW, Washington, DC 20037. A room block has been arranged for Sunday and Monday nights.
  • Hotel reservations for students will be made for them upon completion of the Summit registration form. Students should not contact the hotel directly.
  • Transportation will be provided from the St. Gregory Hotel (across the street from Hyatt Place) to the National Academy of Sciences, where the Summit will be held. More detailed instructions will be sent to students prior to the Summit.
  • Parking at Hyatt Place is valet only: $50/night

Ground Transportation

Hyatt Place does not offer an airport shuttle service. Driving times from nearby airports are:
  • Reagan Washington (DCA): 15 minutes (Metro available; see below.)
  • Dulles International Airport (IAD): 45 minutes
  • Baltimore Washington (BWI): 1 hour
Uber: Approx $22 from DCA. A surge fee of $8–$10 may apply during rush hours (8–10 a.m. and 5–7 p.m.). Metro: The Metro card is $2 plus the one-way fare of $2.25–$6. For more information: https://www.wmata.com/
  • From Reagan: Take the Blue Line to Foggy Bottom (approx 14 min). It’s a 5–6 block walk to the hotel.
  • From Dulles: Take the Silver Line metro to Foggy Bottom-GWU Stop or Farragut West Stop (45 min). It’s a 5–6 block walk to the hotel.

Travel Reimbursement

  • Out-of-pocket expenses incurred for ground transportation to and from the airport, airport parking, and meals during travel are eligible for reimbursement after the summit.
  • Reimbursements will be mailed from CORD (Center for Occupational Research and Development, Inc.) directly to the attendee with the contact information provided on the reimbursement form.
  • Itemized receipts are required for meals reimbursement.
  • Alcohol will not be reimbursed.
  • Completed form and all receipts must be submitted to Monica Mayhew within 10 days after the meeting. (Reimbursements will not be provided before the meeting.)
